Team Galaxy Terms of Service

1. Acceptance of These Terms

These Terms of Service ("Terms") govern your access to and use of Team Galaxy, including the Team Galaxy website, Galaxy OS accounts and dashboards, Team Galaxy communities and services, and the Team Galaxy Discord bot (together, the "Services").

By creating an account, signing in, browsing the website, or interacting with the Team Galaxy Discord bot, you agree to these Terms and to the Team Galaxy Privacy Policy. If you do not agree, do not use the Services.

If you use the Services on behalf of an organization or team, you confirm that you have authority to accept these Terms for that organization.

2. What These Terms Cover

Additional rules may apply to specific features, events or programs. Where a specific rule conflicts with these Terms, the specific rule applies to that feature only.

• The Team Galaxy website, including public pages such as the status page and these legal documents.
• Galaxy OS accounts, profiles, creator tools, messaging, applications and staff tools.
• Team Galaxy communities and services operated by Team Galaxy, including events, clips, badges and recruitment.
• The Team Galaxy Discord bot and the Discord interactions it supports, such as account linking, notifications and recruitment updates.

3. Account Requirements

• You must be at least 13 years old, or older where the law in your country requires a higher age of digital consent. Individual roles, programs or recruitment positions may require a higher minimum age.
• If you are under the age of legal majority where you live, you may use the Services only with the involvement and consent of a parent or guardian.
• You must provide accurate account information and keep it current, including a working email address where one is required.
• Local accounts require email verification before full access is granted. Verification codes are tied to the email address you registered.
• One account per person. Accounts may not be shared, sold, transferred or used by anyone other than the registered owner.
• You are responsible for your account credentials and for all activity that occurs under your account.

4. User Responsibilities

• Keep your password, verification codes and linked accounts secure. Tell staff promptly if you believe your account has been compromised.
• Follow the Team Galaxy community rules, staff instructions and Discord server rules in addition to these Terms.
• Only upload, post or share content you have the right to share.
• Do not impersonate Team Galaxy staff, moderators, creators or other members.
• Keep your profile information accurate and respectful, and do not use it to harass, deceive or mislead others.
• Notify us if you believe content on the Services infringes your rights or violates these Terms.

5. Acceptable Use

You agree to use the Services only for lawful purposes and in the way they are intended to be used.

• Do not attempt to access accounts, data, systems or areas you are not authorized to access.
• Do not interfere with, overload, probe or disrupt the Services, including through scraping, automated bulk requests or denial-of-service activity.
• Do not reverse engineer, decompile, circumvent security or moderation controls, or attempt to evade bans, mutes, suspensions or device restrictions.
• Do not use the Services to distribute malware, phishing links, fraud, or deceptive content.
• Do not use the Services to violate another person's privacy, including by sharing private information without consent.

6. Team Galaxy Discord Bot

The Team Galaxy Discord bot connects Discord with Galaxy OS. It is operated by Team Galaxy and works only where it has been invited and authorized.

• Account linking: when you authorize Discord, we link your Discord user ID to your Team Galaxy profile so features such as recruitment notifications and status updates can be delivered to you.
• Direct messages and notifications: the bot may send you direct messages or channel notifications relating to applications, interviews, account status, moderation outcomes and service announcements.
• Bot commands and interactions: the bot provides commands and buttons, including /terms and /privacy, which link to these documents and to the Privacy Policy.
• Server information: where the bot is installed, it may read information required for the features in use, such as your Discord user ID, username and display information, and roles where a feature depends on them.
• Discord delivery identifiers: we may store Discord message and channel identifiers needed to deliver, thread or troubleshoot a notification.
• You may disconnect your Discord authorization at any time in Galaxy OS, which stops bot-driven personal notifications. Some recruitment communication may still take place inside Galaxy OS.

7. Applications, Recruitment and Interviews

• Submitting an application does not guarantee an interview, a placement or a role of any kind.
• Information you submit through applications, messages, availability forms and interviews must be truthful and your own.
• Applications, applicant messages, reviewer notes, decisions and recruitment history are part of the Galaxy OS recruitment record.
• Interviews are conducted by voice using Google Meet. A camera is never required, and participation by voice alone is fully acceptable.
• Interview scheduling information, including the Google Meet link and interview notes, is restricted to authorized participants and Team Galaxy staff.
• Interview scheduling conflicts, rescheduling requests and no-show determinations are handled manually by Team Galaxy staff after the applicable grace period.
• Recruitment decisions are made by Team Galaxy staff. AI-assisted tools, where used, may help prepare suggested questions but never grade, rank or decide outcomes.

8. User-Generated Content

You retain ownership of the content you create and upload, such as clips, comments, profile information, messages and application answers.

By posting content on the Services, you grant Team Galaxy a non-exclusive, worldwide, royalty-free license to host, store, display, reproduce and distribute that content as needed to operate, promote and improve the Services.

You are responsible for the content you submit and for ensuring you have the necessary rights to it.

• Content that violates these Terms or the community rules may be removed or hidden.
• Content moderation actions, including removals and enforcement history, may be retained as part of the moderation record.
• You may delete your own content where the feature allows it. Some records, such as moderation or recruitment history, may be retained for safety, integrity and recordkeeping purposes as described in the Privacy Policy.

9. Moderation and Enforcement

• Team Galaxy staff may review reports, content, messages and account activity to enforce these Terms and the community rules.
• Enforcement actions may include warnings, content removal, mutes, temporary or permanent bans, and IP or device-level restrictions.
• Critical enforcement actions require explicit staff confirmation and are recorded in internal audit logs.
• Reasons and internal notes are recorded for accountability. Not every internal detail is shared with the affected user.
• Appeals may be submitted through the channels Team Galaxy provides. Enforcement decisions are reviewed by staff, and not every appeal results in a change.

10. Prohibited Abuse

The following are strictly prohibited and may result in immediate enforcement action:

• Harassment, hate speech, threats, targeted abuse, doxxing or stalking.
• Sexual content involving minors, exploitation, or any content that endangers minors.
• Fraud, scams, phishing, account theft or the sale of accounts, badges or services.
• Ban evasion, including through alternate accounts, devices or networks.
• Malicious automation, self-bots, spam, raiding, or coordinated abuse of Discord or Galaxy OS features.
• Attacks on the Services, staff or other members, including attempts to exploit, pressure or blackmail.
• Sharing another person's private or identifying information without their permission.
• Any use of the Services that breaks applicable law or Discord's own terms and policies.

11. Service Availability

• The Services are provided on an "as available" basis. Features may change, be added, be suspended or be discontinued at any time.
• Maintenance, emergency shutdowns, security responses and third-party outages (such as Discord, Google or our hosting providers) may interrupt access.
• We do not guarantee uptime, uninterrupted availability, or that any particular feature will remain available.
• Public status and maintenance information is published on the Team Galaxy status page where available.

12. Suspension and Termination

• You may stop using the Services at any time and may request account deletion as described in the Privacy Policy.
• We may suspend, restrict or terminate your access, with or without notice, where we reasonably believe these Terms have been violated, where required by law, or where necessary to protect the Services, our members or other people.
• Where an account is terminated for a violation, related records such as moderation history, enforcement logs and recruitment records may be retained as described in the Privacy Policy.
• Provisions that by their nature should survive termination, including ownership, disclaimers, limitation of liability and recordkeeping obligations, continue to apply.

13. Third-Party Services

The Services connect with third-party platforms that operate under their own terms and policies. Your use of those platforms is governed by their own agreements, not by these Terms.

• Discord — for community access, account linking, bot commands and bot-driven notifications.
• Google services, including Google Meet — used to host voice interviews and, where offered, sign-in with Google.
• Email delivery and hosting or database providers — used to send account and recruitment email and to run Galaxy OS.
• Team Galaxy is not responsible for the availability, content, data practices or policies of third-party services. If you withdraw consent or authorization for a third-party service, related features may stop working.

14. Disclaimers

The Services are provided "as is" and "as available", without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

Team Galaxy does not warrant that the Services will be error-free, secure, uninterrupted, or that content on the Services is accurate or complete. Community content is created by members and does not represent the views of Team Galaxy.

15. Limitation of Liability

To the maximum extent permitted by law, Team Galaxy and its staff, volunteers and service providers will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost data, lost content, lost profits, or loss of goodwill, arising from or related to your use of the Services.

To the maximum extent permitted by law, Team Galaxy's total liability for any claim relating to the Services will not exceed the greater of any amount you paid to Team Galaxy in the twelve months before the claim, or the minimum amount permitted by applicable law.

Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you. Nothing in these Terms excludes liability that cannot lawfully be excluded.

16. Changes to These Terms

• We may update these Terms to reflect changes in the Services, our practices, or legal requirements.
• The current version, effective date and last updated date are always published at the top of this page.
• Material changes are communicated through the Services, including in-app notices, announcements or update notifications, before or when they take effect.
• Continued use of the Services after a revised version takes effect means you accept the revised Terms.

Questions about these Terms, reports of violations, and legal notices can be submitted to Team Galaxy through the Galaxy OS Support Center or through the official Team Galaxy Discord server. Support requests are handled by Team Galaxy staff.
